Getting Ready

Before your event starts we recommend that you work through the following checklist to ensure you are prepared:

8-10 weeks before the show
  • Read your exhibitors’ manual thoroughly
  • Book ad space in trade magazines
  • Request exhibitor badges
  • Review your objectives and make a plan
  • Create show collateral and give-aways
  • Appoint a stand contractor
  • Invite key clients and potential customers
  • Make hotel reservations
  • Check that your stand and its contents are insured
3-7 weeks before the show
  • Order stand furniture
  • Order electrical services
  • Order audio-visual services
  • Order stand cleaning services
  • Order telephone services
  • Order internet services
  • Order food and beverage services
  • Order security services if required
  • Order rigging services if required
  • Arrange shipping of equipment and units
  • Check if guests know your stand and hall number
10 days before the show
  • Organise stationery and literature supplies
  • Check move-in date and time
  • Ensure staff have exhibitor badges
  • Follow up invitations with phone calls
  • Plan post-show follow-up activities
  • Check confirmations for ordered services

  1. Choose the right show. Pick one with a good record of attracting your kind of buyers.
  2. Book your stand early. You’ll have a better choice, more time to plan and the chance of an early booking discount.
  3. Start promoting early. Send letters to current and potential clients to let them know you’re exhibiting.
  4. Design your stand carefully to enhance your offerings. Make sure your product is the main feature so visitors know what you do.
  5. Look for qualified buyers. Get your staff to search out the right people, qualify their interest and record their details.
  6. Follow up. The show is the first big step, but for the best results contact all the buyers you meet afterwards.
